I can't find observations that I took on my app?

If you can't find observations that you have previously created on your app they may be filed under a different class on your device.

To find them try this:

1. Set the date range appropriately by tapping on the dater on the post-it note
2. Tap on the top of the post-it note to go to the Classes and Learners page
3. Tap on Show all experiences for <classname>
4. Repeat for each class

When you find the observations tap on it to open and then add the appropriate learners.

NOTE observation will only show on the device which they were taken on, and on the websuite.

 

Why can't I see the observations from my device on the Web Suite?

Observations are automatically uploaded to the web suite. A green dot indicates a successful upload. No green dot indicates a connectivity issue or your app is not up-to-date. If you have a green dot but can't find it on the Web Suite: Check that the observation is tagged to the correct learner. You can find observations which are not allocated to a learner in Observations on the websuite. Select All experiences not allocated to a class/learner from the bottom of the drop down menu of classes. You can then add learners online by clicking Add/update learners.

 

If you can't find observations here, the classes on your device may not be linked to the classes on the Web Suite properly (if this is the case, please contact support)

 

I can't see my colleagues observations on my device, why is this?

All observations are automatically uploaded, collated and securely stored on the Web Suite. You can only view observations in the App on the device on which they were created- devices do not sync between each other.

 

When I try to add objectives in the app, the screen says loading?

If you have a blank screen which says 'loading' when adding objectives in the app, you may need to update your framework. To do this:

1. Make sure that you have wifi connection

2. Go to settings

3. Tap on Log in - you should receive a message back saying Success

4. Tap on Check for frameworks updates - you should receive a message back saying Synchronising (let me know if it says anything else)

5. Tap on Preload objectives from server - This should start checking and then loading categories. If this process stops counting up, tap close then preload objectives until all categories have downloaded and the screen says finished

Once this has finished the objectives should be updated and stored in the app. Only tap on the "check for framework updates! and Preload objectives from server if instructed to do so by support. If this doesn't work, or it says framework up to date when you check for framework updates, please contact support to resolve the issue.

 

I have just upgraded to a Primary account, how can I access the Primary curriculum?

To access the Primary Curriculum you will need to update the framework on each device to download the new objectives.

To do this:

1. Make sure that you have wifi connection

2. Go to settings

3. Tap on Log in - you should receive a message back saying Success

4. Tap on Check for frameworks updates - you should receive a message back saying Synchronising (let me know if it says anything else)

5. Tap on Preload objectives from server - This should start checking and then loading categories. If this process stops counting up, tap close then preload objectives until all categories have downloaded and the screen says finished

Once this has finished the objectives should be updated and stored in the app. Only tap on the check for framework updates and Preload objectives from server if instructed to do so by support. How secure is 2Build a Profile?

All the 2Build a Profile software uses industry standard encryption and security that you would typically find on online banking systems and email servers. What devices can I use with the App?

 

Apple Devices

We recommend any Apple device with an inbuilt rear-facing camera:

·        iPad 2, 3 and 4

·        iPad Air

·        iPad mini

·        iPod touch (4th and 5th generation*)

·        iPhone

Android Devices

2Build a Profile is also accessible on certain Android devices.

Amongst budget devices, we recommend the Acer Iconia One 7"

2Build a Profile also works on the Amazon Fire Tablet 7"

If you wish to use another Android device, we recommend trying the app first to make sure it works. Your device should be running Android 5 and have a rear facing camera.

 

Will I have to make changes to my Proxy Filters?

 

Some establishments use proxy servers or content management filters to restrict Internet access. In order to get the app to work with these filters, it is necessary to "allow" the following addresses though the filter or proxy server:

Please make sure ports 80 and 443 are opened

 

If you prefer to use IP addresses rather than domain names the following IP addresses should be allowed through your proxy filters:

Can I view and export my learner's achievements?

You can use the "Framework Coverage" report on the Web Suite to view which objectives have been covered for your learners. This can be exported to Excel. If you would like to carry out more detailed reporting then we can integrate with Classroom Monitor's Markbook software. Contact us for more details.

 

Why have I not received the observations that I emailed from my device?

To generate your learning journeys we recommend that you use the Web Suite. It offers more options and you can generate reports for the whole class in just a few clicks! If you really want to email from the app and you're not receiving them: Try a different email address (outside of school) Is your school blocking it because of attachments Check spam/filter folders in your email Reduce the number of observations/date range that you are emailing

 

Can I delete observations from my device?

If you delete an observation from your device it will be removed from the web suite. Observations do take up a surprisingly small amount of space. There is a way that you can remove all data in our "Start of Year" procedure.

 

How do I add a new learner to my class?

We recommend that you maintain your Classes and Learners on the Web Management Suite (Classes and Learners) and use the "Auto-Sync" feature on the web suite. To add a new learner, type the name into a class in the Class setup are on the websuite and Save changes. When you make any changes to the classes you will be prompted to download the latest class lists from the master register* the next time you start the app.

* must have App v1.10 and a wifi connection

 

If you are not prompted to do this, please check the classes on the websuite are correct then tap 'refresh' in the classes and learners page in the app.

 

I have updated to V1.10 and now the drop-down menu in characteristics of learning area is not there.

If you would like to add them again you can go into Settings > Change notes field (see below). Customisable drop-down lists in notes section You can add drop-down list selection to any notes section e.g. pre-selecting names for the “Observed by” field. When adding/changing a notes section, use the hash symbol (#) to specify the list values. e.g. The following value for the notes fields will add a new drop-down list for the “observed by” field. Notes, Next Steps, Observed by # Chris; Andrea; Ben NOTE: to add the Characteristics of Learning drop down list to the notes section just add the text "Characteristics of Learning" as a section name. It must be spelt correctly and have a capital "C" and "L".

 

I've updated my app but I can't see the Characteristics of Learning?

You may need to update the frameworks on your device. To load the updated framework that includes the Characteristics of Learning do this:

1. Make sure that you have wifi connection

2. Go to settings

3. Tap on Log in - you should receive a message back saying Success

4. Tap on Check for frameworks updates - you should receive a message back saying Synchronising

5. Tap on Preload objectives from server - This should start checking and then loading categories. Once this has finished the objectives should be updated and stored in the app. The updated objectives have the Characteristics of Learning added in. Only tap on the check for framework updates and Preload objectives from server if instructed to do so by support.

 

Why is my device running slowly?

When a device starts running slowly, it’s normally because the App is due a reset all data. We recommend that that data is re-set within the app once a term to keep the app running smoothly.

Before going through the end of the please be aware that resetting your device will clear off all data so that observations will no longer appear on your device however they will remain securely stored on your websuite. This will help to create more storage within the app which will help the software to run more smoothly. It will also avoid any confusion searching through old observations.

Make sure that all observations are completed and on the Web Management Suite- you can check this in Observations on the websuite. The green dots on observations in the app indicate a successful upload.

How do I create a CTF file to set up my classes?

We have been informed by other schools that they have set the destination to 'The Standard and Testing Agency' which has allowed them to save the CTF file to their computer.

If you do not have this destination available you may need to contact your School System’s support directly and they will be able to either help you set up the destination or will advise you on how else to download the CTF to your computer.

 

Why is my Assessment report blank?

If you are using the Assessment assistant the Assessment Report will not update until the Save changes button has been clicked on the Enter Judgement grid.

Please follow the below instructions to update the report:

  1. Log on to the websuite (www.2buildaprofile.com)
  2. Click NEW: Assessment
  3. Select Enter Judgements
  4. Select the class from the Group drop-down box
  5. Individually open up each Assessment Term and complete the below steps
  6. From the Area drop-down box, scroll to the very bottom and select ALL
  7. Click Submit (please note the report may take a few minutes to generate)
  8. Once the report has generated please check that you are happy with all the data that has been automatically entered by the Assessment Assistant and make any necessary changes.
  9. Once you are happy with the judgement please click Save and Continue or Save and Close for the data to be sent to the Assessment Report.

 

Please re-generate the Assessment Report to track the children’s progress.

 

Why can’t I see any judgements?

Judgements will only automatically be entered into the Enter Judgements area if the Assessment Assistant is switched on.

To turn the Assessment Assistant on:

  1. Click New: Assessment
  2. Select Assessment Setup
  3. Add a tick to the ‘Use Assessment Assistant box and set your judgement thresholds'
  4. Click Save Changes at the bottom of the page

 

When you next open up the Enter judgements page, you should be able to see assessment judgements successfully!

 

Why have my notes fields changed?

When you reset the data on your device, this clears all data you’ve entered into the App this includes the observations, class lists and the notes field. Class lists can be re-downloaded from the websuite however you will need to set up your custom notes fields again. To do this please:

  1. Open the App
  2. Tap the cog at the bottom
  3. Scroll to the Advanced section and select Change notes fields

 

Here you can re-create your notes fields and drop down menus. To add drop down lists, add a space after the title followed by a '#'. After the sign add the drop down options you would like, separated with a ';'. For example, if you wanted teachers names under the 'observed by' section, you would type 'Notes, Next steps, Observed by #Miss Kelly; Mrs Johnson'.

You will then be able to select these names when writing your notes on the observation.  

 

Why is my camera not loading when I try to take an observation?

If the camera isn’t loading on your Apple device, you may need to adjust the Privacy Settings for the App to allow access to the camera. To do this, please:

  1. Open the iPad settings
  2. Scroll down to Privacy
  3. Tap Camera
  4. Find 2Simple and make sure this is active (the switch should be green)
  5. Tap Privacy again and select Photos
  6. Make sure this is also active

 

Please note: Privacy settings can adjust after iOS updates. 

 

How can I change the Pupil Portfolio report layout?

You can edit the layout of your reports at any point and it’s easy to create your own template for generating your observations in PDF or Word.

The quickest and easiest way to do this is to download the Standard Template and modify it to suit your needs (e.g. add your own logo), you can also create as many templates as you like.
